How To Set A Welcome Greeting In CircleLoop

Welcome greetings can be applied to both Menus and Teams. These messages are played to callers before their call is routed. Follow the appropriate steps below, depending on where you’d like the greeting to play

Menu Greeting

Example: “Welcome to CircleLoop. Please press 1 for Support, 2 for Sales, or 3 for all other enquiries.”

To create a new menu:

  1. Go to Admin Settings

  2. Select Menus

  3. Click Add Menu

  4. Enter a name for your new menu

  5. Set your menu options by selecting Add new for each option (0 to 6) and assigning each to a user or team

  6. Under Welcome Greeting, select Upload New to upload an MP3 file or record a message

  7. Set your Call Settings (optional), such as voicemail preferences

  8. Set your Out of Hours configuration (optional) to define availability

  9. Click Done

To assign a number to your new menu:

  1. Go back to Admin Settings

  2. Click on Numbers

  3. Select the number you wish to assign

  4. Click Unassign

  5. Re-select the number and choose Assign

  6. At the top, assign the number to your new menu instead of a user or team

Once complete, your welcome greeting will be played when someone calls the assigned number


 

Team Greeting

Example: “You are now being connected to the Sales Team.”

To create or edit a team with a greeting:

  1. Go to Admin Settings

  2. Select Teams

  3. Click Add Team

  4. Enter a name for your team

  5. Assign users to the team

  6. Toggle on Welcome Greeting, then either record a message or select Upload New to upload an MP3 file

  7. Set your Call Settings (optional), such as voicemail preferences

  8. Set your Out of Hours configuration (optional) to define availability

  9. Click Done
